Common Mistakes to Avoid
Being too direct in written Chinese
English speakers often write “Please send me the file.” In Chinese business culture, adding a softener is better.
Too direct:
Bǎ wénjiàn fā gěi wǒ
把文件发给我
Send me the file
Better:
Máfan nín bǎ wénjiàn fā gěi wǒ yīxià
麻烦您把文件发给我一下
Could you trouble you to send me the file?
The extra words show respect. They cost nothing.
Using “nǐ” instead of “nín”
Use 您 (nín) for managers, senior colleagues, and anyone you do not know well. Use 你 (nǐ) only for close teammates at the same level.
Ignoring response times
Chinese colleagues may not reply immediately to WeChat messages. That does not mean they are ignoring you. They might be in a meeting or thinking about the question. Follow up politely after a few hours, not minutes.
